A kanban view shows one card per record, arranged in columns. Each column is one value of a field, usually a stage such as "To do", "In progress", and "Done". Dragging a card to another column changes that field on the record.

Use a kanban view when work moves through stages and people need to see at a glance what is waiting where: jobs for a dispatcher, deals in a pipeline, orders being packed.

Note: Kanban views are being rolled out to organizations step by step. If Kanban View isn't offered as a view type, it isn't enabled for your organization yet.

Choose the column field#

The board's columns come from a Status field, which can be a Status, Single Select, or Text column.

  • Use a Status column when the stages have meaning, such as not started, in progress, done, and cancelled, and when business rules or reports should react to them. A Status column can also limit which moves are allowed.
  • Use a Single Select column when the columns are only categories.

Create a kanban view#

  1. In the sidebar, hover over a folder and click +, then choose New view.
  2. Enter a Name and pick Kanban View as the View Type.
  3. Under Status field, pick the column whose values become the board's columns.
  4. Optionally pick a Swimlane field to split the board into rows.
  5. Under Parent Data View, pick the access filter the board reads from.
  6. Click Create.

Swimlanes#

A swimlane splits the board into horizontal rows by a second field, so each row shows its own set of columns. Use it to split work by technician, branch, or customer. A swimlane can be a Status, Single Select, Text, Person, or Relation column. Choose No swimlanes for a single row.

Set up the cards#

Open Settings and choose Card Layout. A preview shows the card as you change it.

  • Title Field is the main line on each card.
  • Subtitle Field is an optional second line.
  • Fields adds more values to the card, up to twenty. Click Add field to add one, and turn Show name on or off to show the field's name next to its value.

The same page holds the board settings: Status field, Swimlane, Show empty columns, and Show empty swimlanes.

Work on the board#

  • Move a record. Drag its card to another column, or to another swimlane.
  • Add a record. Click New in a column. The new record starts in that column.
  • Collapse a column you don't need right now with Collapse column, and open it again with Expand column.
  • Open a record. Click a card to open its record page.
  • Load more. Long columns load in batches. Click Load more to see the rest.

Records with no value in the column field appear in an Unassigned column.

Warning: Moving a card is a normal update. Validations, guards, and allowed status transitions all still apply. If a move isn't allowed, the record isn't changed and you see the reason. If the move takes the record out of the view's filter, you see This card is no longer in this view.

Plan a good board#

Write down the column field and what each value means for the business. Pick a title field people recognize at a glance, like the customer or job number. Add a swimlane when the board is shared by several people, teams, or sites.
