Columns
ID
Use an ID column to give every record a readable, automatically numbered identifier, such as INV-1042 or TICKET-7. Set a prefix and starting number.
An ID column gives every record a readable number that SAPUGO fills in automatically, such as INV-1042 or TICKET-7. It is the number people say out loud, write in emails, and print on documents.
Every record already has an internal identifier, whether or not you add an ID column. The ID column is the friendly version for people.
When to use it#
Add an ID when people, emails, or documents refer to records by a code: Order ID, Invoice Number, Ticket ID.
If the code comes from outside SAPUGO, such as a supplier's part number, use a Text column instead and turn on Unique Values.
Settings#
| Setting | What it does |
|---|---|
| ID Prefix | Text placed before the number, such as INV-. |
| ID Suffix | Text placed after the number. |
| Starting Number | The number the first record gets. The default is 1. |
| Increment By | How much the number goes up for each new record. The default is 1. |
ID Prefix and Starting Number appear when you create the column. ID Suffix and Increment By are under Show advanced options, or in Edit property afterwards.
Tips#
- Start at a higher number, such as 1000, if you don't want your first invoices to look like
INV-1. - Include the separator in the prefix, such as
INV-rather thanINV, so the number is easy to read. - An ID makes a good Display Field for a Relation, because it identifies the record without any doubt.
- ID columns can't be duplicated or converted to another type, and can't be added to time series tables.
