A Checkbox column stores yes or no. A record is either checked or unchecked.
When to use it#
Use a Checkbox for a single fact that is true or false: Billable, Urgent, Requires Signature, or Safety Check Completed.
Pick a different type when there are more than two answers:
- A set of named stages, such as Draft, Sent, and Paid: use Status.
- One of several categories: use Single Select.
- Several tags at once: use Multi Select.
Settings#
| Setting | What it does |
|---|---|
| Default value | When turned on, new records start checked. |
Tips#
- Name the column so that "checked" has one obvious meaning. "Safety check completed" is clearer than "Safety".
- If you find yourself adding a second checkbox to describe the same thing ("Started", "Finished"), switch to a Status column.
- In a formula, a Checkbox is read as a Boolean value, so you can use it directly as the condition in
IF. - A Checkbox can be converted to Text. When you convert Text to Checkbox, you can choose to set any value that can't be read as yes or no to unchecked.
