A Multi Select column stores any number of choices from one list. Each option has a label and a color, and each chosen option shows as a colored tag.
When to use it#
Use Multi Select for tags: Skills, Allergens, Sales Channels, or Labels. A record can carry as many as apply.
Pick a different type when:
- Only one choice is valid: use Single Select.
- Each choice is a record with its own details, such as a customer, a part, or a project: use a Relation with Allow multiple records on.
- The choices are members of your organization: use Person.
Settings#
| Setting | What it does |
|---|---|
| Options | The choices people can pick from. Give each one a label and a color, and drag them into the order you want. You need at least one option to create the column. |
| Standard list | Instead of typing your own options, use Currency codes (ISO 4217) or Countries (ISO 3166). The choices stay up to date. Switch back to My own options to edit them. |
| Selection Limits | The minimum and maximum number of options a record can have. Leave both blank for no limits. A minimum makes picking at least that many options required. |
| Allow Other Values | Lets people enter a value that isn't in the list. |
Selection Limits and Allow Other Values are under Show advanced options when you create the column, and in Edit property afterwards.
Tips#
- Set a maximum when the business has one, such as "up to 3 focus areas".
- If people keep asking for more details about a tag (who owns it, when it applies), it is time to turn the tags into their own table and link to it with a Relation.
- A Multi Select can be converted to Single Select, and a Single Select or Text column can be converted to Multi Select. See Change a column's type.
