# Table view

> A table view shows records as a grid you can search, filter, sort, group, and edit. Learn how to set one up and keep it tidy for your team.

A table view shows records as rows in a grid, one column per field. It is the screen people use to scan a list, find a record, edit values in place, export, and work through many records at once.

Every table gets a table view first. Even when a board, a calendar, or a map is the main screen for a team, a table view over the same records is useful for searching, bulk edits, and exports.

## Create a table view

1. In the sidebar, hover over a folder and click **+**, then choose **New view**.
2. Enter a **Name** and pick **Table View** as the **View Type**.
3. Under **Parent Data View**, pick the [access filter](/docs/base-views) the view reads from.
4. Click **Create**.

## Work with records

- **Add a record.** Click **New** in the toolbar.
- **Edit a value.** Click a cell and type. Changes are saved as you go, and [business rules](/docs/business-rules) run on every save.
- **Open a record.** Open a row to see its full [record page](/docs/views/record-page).
- **Search.** Use **Search** in the toolbar. **Text** finds records that contain your words. **AI** finds records by meaning, so "late deliveries in Berlin" can match records that never use those exact words.

## Filter

Click **Filter** in the toolbar and add conditions with **Add condition**. Use **Add condition group** to combine conditions, choosing whether **All of the following are true** or **Any of the following are true**. You can also choose to show active records, archived records, or both.

To take the filter from another view on the same table, use **Copy from a view**.

The view's filter only narrows what its [access filter](/docs/base-views) allows. It can't bring back rows the access filter hides.

## Sort

Click **Sort** and pick a field, then choose ascending or descending. Add more fields to break ties. You can sort by every column type except Files. You can also sort from a column header with **Sort ascending** or **Sort descending**.

## Group

Click **Group** and pick a field to group rows into bands, each with its own header. Use **Add subgroup** to nest up to three levels, for example customer, then status, then assignee.

Grouping works best on columns with a small set of values, such as Text, Person, Relation, Single Select, Status, and Checkbox. Use **Collapse all** and **Expand all** to open or close every group, and **Clear grouping** to go back to a flat list.

## Columns

- **Show or hide columns.** Open **Settings**, then **Property visibility**, or choose **Hide in view** from a column header.
- **Reorder columns.** Drag a column header left or right. The view remembers the order.
- **Freeze columns.** Choose **Freeze up to this field** from a column header so the first columns stay visible while you scroll sideways. Drag the boundary to adjust it, or choose **Unfreeze columns**.
- **Add a summary.** Under each column you can show a **Summary**, such as **Sum**, **Average**, **Median**, **Min**, **Max**, **Range**, **Count**, **Empty**, **Filled**, **Unique**, **Percent empty**, **Percent filled**, or **Percent unique**. Date columns also offer **Earliest** and **Latest**.

Columns hidden by the access filter never appear in the view, even if the view lists them. See [Columns](/docs/columns) for adding and editing columns.

## Row height and headers

Click **Row height** in the toolbar to choose **Short**, **Medium**, **Tall**, or **Extra tall**. Taller rows show more of long text. Turn on **Wrap headers** to let long column names wrap onto a second line.

Row height is a display setting. It doesn't change your data.

## Save your changes for everyone

Filter, sort, and grouping changes you make from the toolbar apply only to you until you save them. Choose **Save for everyone** to update the view for all its users, or **Save as new view** to keep the current view as it was and create a new one with your changes.

## Import and export

Open **Settings** and choose **Import Data** to load records from a file, matching file columns to table columns. Choose **Export Data** to download the records in the view.

## Plan a good table view

Decide which columns people need to see first, the default sort, and any grouping. A table view named for its job, such as "Open orders by customer", is easier to find than one named after the table.

  - [Views](/docs/views): All view types and how permissions apply.
  - [Record page](/docs/views/record-page): What opens when someone clicks a row.
  - [Columns](/docs/columns): Add, edit, and convert columns.
